Introduction

When registering and managing domains under some TLDs, the respective registries may require the domain contacts to submit certain documents (such as proof of identity or excerpts from the commercial register) for validation. These documents must be submitted by the registrant in order for the order to be processed. The introduction of new data protection regulations along with the increasing automation of many domain processes and tasks means that secure and flexible document management is required so that customers can manage their documents independently. Our ID Document Management facilitates the quick and secure storage of any necessary documents for domain contacts.

Functionality

ID Document Management enables the management of documents pertaining to the person, organization or the TLD for a domain contact via the domain robot JSON API or via the AutoDNS platform. The uploaded document is assigned to the contact and is used for domain tasks, like registrations, updates etc. In addition to the upload function, users can also make use of the functions "Delete" and "Download" to manage the documents.

AutoDNS

You can manage documents  in the tab for "Documents" in the "Contact management" section for domain contacts. Please note that the uploaded document is only assigned to the relevant contact and can only be used for domain tasks.

By clicking on "+" the modal is opened in which the document can be uploaded.

Use the dropdown to select the document type. A distinction is made between person specific documents (pertaining to a person e.g. personal ID document), organization specific documents (pertaining to the organization, e.g. commercial register excerpts) and TLD specific documents (pertaining to the registry, e.g. commercial license in China for the TLD .CN).
Please note that only one document with a maximum size of 2 MB can be uploaded per document type. Only .PNG, .JPG and .JPEG formats are accepted.

The documents that have been uploaded successfully are listed in an overview.

The documents can also be managed in the list overview. The options "Download" and "Delete" are available. The document is stored for a maximum of 2 years in accordance with GDPR Art. 5 par. 1 lit. e) before it is automatically deleted.

FAQs

For which TLDs is ID Document Management necessary?

Basically for all TLDs for which a document is requested by the respective registry for processing the order. Currently, ID Document Management is used for the TLDs .AZ, .CN, .ES, .IE, .CY, .CO.JP, .KZ, .SA, .TH, .TJ and .UZ.

Further TLDs are already in planning or available on request.

Which kind of documents can be uploaded?

We distinguish between documents specific to person, organization or TLD. Within these distinctions, we offer the types most commonly required by the registries.

Are there technical limitations for the documents?

Yes. Documents may not exceed a maximum of 2 MB in size and only .PNG, .JPG and .JPEG formats are accepted.

Can I delete my document again?

Yes, you have the option to delete a document. However, please note that the document should only be deleted once the order has been completed. We store all documents for a maximum of 2 years in accordance with the GDPR art. 5 par. 1 lit. e). After this, the document is automatically deleted without any notification to the customer.

Can the document be used for other identical domain actions?

Yes, the document can be used for further identical domain actions (e.g. to register further .CN domains)

Do I have to use ID Document Management via the AutoDNS interface?

No, ID Document Management can also be used via the domain robot JSON API.
